Job Description Volunteer Coordinator:

The volunteer coordinator manages all matters concerning the volunteers (volunteers) of the NVLE.

The committees (editors, lupus/APS committee, scleroderma/mctd committee, patient participation, information officers and the website/social media committee) work autonomously and each has a board member on the committee as contact with the board. the volunteer coordinator.

Tasks:

• Orientation meeting with new volunteer together with board member/committee member
• Guiding the regional contacts
• Keep the address list and mailing list of the volunteers up to date
• Account management virtual office volunteers (access/rights to Office365)
• Keeping track of the range of courses (particularly PBL Support) and offering them to volunteers
• Provide team bulletin (newsletter from board to volunteers), after board meetings (using the minutes) and during 'breaking news'
• Organize team meetings and Team Days (together with the other board members)
• Welcoming new volunteers, taking care of volunteer folder and volunteer agreement
• Volunteers who stop sending a thank you letter with a voucher worth 25 Euro
• In case of death volunteer action together with secretary. First inform the board and close volunteers (by phone), then all volunteers by email. Card on behalf of the board to family, in consultation delegation board / close volunteers to funeral, have flowers delivered at funeral with ribbon and text. Write in memoriam in the next Window (by a volunteer who was close by or else himself). (also stated in protocol secretary/secretariat)
• Report changes in the team to the editors Window and the website/social media committee.
• Keeping track of volunteers' birthdays, sending (digital) cards on behalf of board and team members.
• Together with the secretary, provide a Christmas gift for the regular volunteers (mid October) – also for on-call volunteers and members of the medical advisory board.
• Send a Christmas card to the volunteers from the volunteer pool together with the secretary – also to direct relations of the NVLE (address list in the Virtual Office Secretariat)
• All other matters concerning the volunteers

Attends the board meetings (7 times a year), the general members meeting (1 time a year), the board days (1 time a year) and the team days (2 times a year).
